To add a new Rule, click on "Add new rule" in the top right corner.
The rule creator window
When adding a new rule, you will need to fill in some descriptive information, such as name and description (Internal use only), Scope of the rule, affected users, priority level of the rule and the location of where the rule functions.
Info
Give your new rule a name and description. The information provided will only be visible in the Flowscape portal. Because many rules can be added, make the description as detailed as possible to enable easy navigation of all rules registered in your system.
Scope
Under scope, you will be able to decide;
- Permission type - if the rule will allow or restrict bookings.
- Booking type - If the rule will allow/restrict booking or booking on behalf of.
- Space type - if the rule will allow/restrict booking/booking on behalf of for rooms, desks or both.
It is not possible to select multiple options for the same type. For example, you will not be able to select "Allow" and then "booking" and "booking on behalf of" in the same rule. if you want to allow both of these, you will need to do two separate rules.
Affected users
Under Affected users, you will select which teams will be governed by the rule. You can either select "Affect all company users", which will make everyone registered in the Flowscape system affected by the rule, or you can select a specific team under "or affect users in specific teams". You can select multiple teams for one rule.
Priority level
You will now select the priority level of your rule. You can select whatever number you want, select a higher priority level for important rules.
How do I decide priority level?
One important thing to keep in mind is that the rule with the highest priority level will be prioritized above all other rules. This means that a rule with the number 99, will always be the "deciding" rule over rules with the priority level of 98 or below.
For example, if you have two rules for a team, where one rule restricts bookings in a building, and one rule that allows booking on one specific floor in that building, the rule that allows bookings need to have a higher priority level than the rule that restricts. Otherwise, the rule that restricts bookings will go over the rule that allows bookings, and the team will not be able to book on their designated floor.
Location
Under Location, you will decide where the rule will operate. You can select "all company locations" or a specific site, building, floor or zone.
To select a specific site, building, floor or zone. Click on the drop-down selector. when you select a site, the next level of the company structure will automatically appear.
If you wish to select a whole building without affecting specific floors or areas, leave the drop-down selector for floors empty. In the example below, the rule will cover the office Saltmätargatan 8, including all floors.
Click "Save" to activate your new rule.
