Visitor Management

Flowscape integrates with Precise Visit, the visitor management system from Precise Biometrics. When the integration is set up for an office, employees can invite visitors directly from the Home view of the Workplace app, and the visit is registered in Precise Visit for the matching location.

How the setup works

The setup involves three parties: Flowscape support, your Precise Visit administrator, and a Global Admin in Workplace Manager.

Before you begin

• Your organization has a Precise Visit subscription, and each office you want to connect is set up as a location in Precise Visit.
• You have administrator access to the location settings in Precise Visit.
• You are a Global Admin in Workplace Manager. The Global Admin role gives permission to administer everything within the organization, including access to all locations.
• Each Flowscape office is connected to one Precise Visit location with its own API key.

Step 1: Activate the integration

The Precise Visit integration is turned off by default and can only be activated by a Super Admin. Super Admin access is held by Flowscape support. To get started, contact support@flowscapesolutions.com and ask to enable the Precise Visit integration for your company.

Once the integration is activated, Visitor Management appears under Integrations in the Workplace Manager menu. While the integration is turned off, Visitor Management is hidden.

Step 2: Create an API key in Precise Visit

Precise Visit uses API keys to give trusted systems, such as Flowscape, access to its data. Keys are created per location, so create one key for each office you want to connect.

1. Sign in to Precise Visit and select Settings.
2. Under Location level, select the location that matches your Flowscape office.
3. Select Integrations, then Share access to third-party.
4. Select Create new API key.
5. In Name, enter a name that shows the key is used by Flowscape, for example London_HQ.
6. Select Create new API key.
7. Copy the API key and keep it at hand for the next step.

The API key is shown only once, right after it is created. Copy it before you close the dialog. If you lose the key, delete it and create a new one.

Treat the API key like a password. Only paste it into Workplace Manager, and don’t share it by email or chat.

Step 3: Connect the office in Workplace Manager

1. Go to Integrations › Visitor Management. The list shows the offices that are already connected, with their site and region. Use the Region, Site, and Office filters to narrow the list.
2. Select Create.
3. In Office, select the Flowscape office to connect.
4. In API key, paste the key you created in Precise Visit.
5. Select Save.

To connect several offices in a row, select Create another Precise Visit key before you select Save. The panel stays open so you can add the next office.

After you save, the API key is masked and can’t be viewed or changed.

Step 4: Check the Workplace app

When an office has a Precise Visit key, the Visitors widget appears on the Home view of the Workplace app for that office. Refresh the Workplace app to see it. Users select Register a visitor to invite a visitor. The widget is only shown for connected offices.

Manage connected offices

A connection can’t be edited. To change the API key or the office, delete the connection and create it again.

1. Go to Integrations › Visitor Management.
2. Select the office. The panel shows the office, the connection’s UUID, and the masked API key.
3. Select Delete.

When a connection is deleted, the Visitors widget is removed from that office’s Home view after the Workplace app is refreshed.

If you delete a key in Precise Visit, visitor registration stops working for that office. Delete the connection in Visitor Management at the same time, so users aren’t shown a widget that doesn’t work.
