You can book rooms, desks, parking spaces, lockers, dog spaces, massage chairs, and any other resources your office offers. The booking flow is the same for all resource types — this article walks through the basics, then covers each resource type and a few related tasks.
The booking flow
All bookings follow the same basic steps.
Find a resource
- Go to the Office tab.
- Browse the Map view, or switch to the List view.
- Use the Filters, Date & Time selector or Search to narrow down resources.
Book the resource
- Select the resource on the map or in the list.
- Review the resource details — capacity, equipment, photos, and existing bookings.
- Adjust the date and time if needed.
- Select Book asset.
To see when a resource is free across a day, select Calendar in the Upcoming bookings section. This opens a calendar view of the resource showing all bookings.
Book for yourself or someone else
By default, you book for yourself. To book on behalf of another person, select Self in the booking modal and choose a colleague.
Search for a specific resource
If you know which resource you want, search is the fastest way to find it.
- Go to the Office tab.
- Select the search icon at the top right.
- Type the resource name.
- Select a result to open it, or select the pin icon next to a result to zoom to it on the map.
Search also helps you find a resource you've heard of but don't know the location of. The map centers on the resource so you can see where it is.
Switch between map and list view
The Office view has two ways to browse resources: a map and a list.
- Go to the Office tab.
- Select the map or list icon at the top right of the floor.

Book a desk
Reserve a desk in advance
Reserve a desk for a future date so it's guaranteed to be yours when you arrive.
- Go to the Office tab.
- Find the desk you want, on the map or in the list.
- Select the desk to open the booking modal.
- Adjust the date and time if needed.
- Select Book asset.
If your work location for that day is set to Not decided, it updates automatically to the office where the desk is located.
Find an available desk right now
If you're already at the office and want a desk for the day, you can use the map to spot one without making an advance booking.
Sensors under each desk detect when someone is sitting at it. The map shows real-time availability:
- Green — the desk is available.
- Red — the desk is in use or booked.
Walk to a green desk and sit down. The sensor detects that the desk is now in use.
To reserve the desk for a specific time period, select it on the map and book it as you would any other desk.
Book a room
Rooms are useful for meetings, calls, or focused work. Booking a room follows the standard flow above.
When reviewing a room, check the listed equipment — for example, video conferencing or a phone — to confirm it fits your needs. To see when a room is free across the day, select Calendar in the booking modal.
Non-bookable rooms
Some rooms can't be booked, but the map still shows whether anyone is currently in them. Use this to find a free space for a quick call or impromptu chat without making a reservation.
Book a parking space, locker, or other resource
Your office may offer other bookable resources beyond rooms and desks — parking spaces, lockers, dog spaces, massage chairs, and so on. The flow is the same as booking any other resource.
View your bookings in the calendar
The Calendar view shows all your bookings in one place.
- Go to the Calendar tab.
- Use the week strip at the top to navigate days. Dots show days with bookings.
- Select any booking to see details or make changes.
Edit, end or cancel a booking
You can change the time of a booking or cancel it altogether.
- Go to the Calendar tab or Home screen
- Select the booking you want to change.
- Edit the date or time, or cancel the booking.
If the booking has already started, End booking replaces Cancel.
