Introducing the New Workplace Manager
Flowscape is taking a major step forward with the launch of the new Workplace Manager—a modern, powerful platform that replaces the current Portal and serves as the foundation for the future of workplace management.
This is more than a redesign. It is a complete transformation that provides a scalable platform for the next generation of workplace solutions.
With Workplace Manager, Flowscape is expanding beyond traditional space management toward a comprehensive workplace platform encompassing asset and space management, smart cleaning, maintenance, access control, service management, and workplace communication.
A Better Experience, Everywhere
Workplace Manager brings all existing functionality into a completely redesigned and intuitive user experience. Fully responsive and optimized for both desktop and mobile devices, it enables administrators and on-site teams to work efficiently wherever they are.
The new map experience makes day-to-day operations faster and more efficient. Technicians can update assets, attach photos, and link sensors via QR codes directly from the map while moving through the workplace.
Navigation between related objects has also been streamlined, making it easy to move between linked assets, update information, and return to the original context.
To further simplify administration, Workplace Manager now includes a built-in email template editor. Administrators can create, edit, and manage email templates directly within the platform without the need to upload external HTML files.
Analytics – Integrated, Smarter, and More Powerful
FlowAnalytics is now fully integrated into Workplace Manager, providing a seamless analytics experience with a significantly improved user interface.
The redesigned dashboards make it easier to discover insights while maintaining the depth and flexibility required by advanced users. A new AI Insights section is available across dashboards, helping users identify trends, uncover opportunities, and make more informed decisions.

New: Office Climate Analytics
Organizations can now analyze workplace climate data, including CO₂ levels, temperature, and humidity, directly within FlowAnalytics.
Indoor climate has a measurable impact on employee well-being, productivity, and workplace satisfaction. Elevated CO₂ levels can affect concentration and decision-making, while poor temperature control can negatively impact comfort and performance.
By combining environmental data with workplace analytics, organizations gain actionable insights that help create healthier, more comfortable, and more productive workplaces.
Workplace App Enhancements
Flowscape is introducing a completely new platform for the Workplace App, available for beta testing on both mobile and web.
Built on a modern architecture, the new platform delivers a significantly improved user experience while providing a scalable foundation for future innovation. This enables faster development and delivery of new capabilities, ensuring the Workplace App continues to evolve with the needs of modern workplaces.
A key enhancement is full support for Microsoft Intune MAM Conditional Access, an increasingly important requirement as organizations strengthen their security and compliance strategies. Security and quality have always been core priorities for Flowscape, and this capability further strengthens the Workplace App as a trusted solution for organizations with advanced mobile security requirements.
The new platform marks the beginning of the next generation of the Workplace App, enabling faster innovation, enhanced security, and an even better experience for employees and administrators alike.
Improved Export and Import Functionality
Export and import functionality has been enhanced across the platform, including Assets, Users, and Sensors.
All available fields are now included in exports, and text values are exported in a clean, plain-text format to simplify analysis and processing in tools such as Microsoft Excel.
The import functionality has been updated accordingly, enabling smoother data management and migration workflows.
New Poly Lens Integration
Flowscape has expanded its video conferencing ecosystem with a new integration to Poly Lens.
Customers using Poly Studio X30/X32, X50/X52, and X70/X72 devices can now collect people-count data directly from meeting rooms and feed it into FlowAnalytics.
This provides a more accurate understanding of actual room occupancy and utilization, helping organizations make better-informed decisions about meeting room capacity and workplace optimization.
Reduced Number of Booking Notifications
We have optimized reminder emails and push notifications related to booking check-ins to reduce notification fatigue while maintaining a smooth user experience.
- If the check-in window opens within 6 hours of the booking start time, users receive a single reminder when check-in becomes available.
- If the check-in window opens more than 6 hours before the booking starts, users receive one reminder when check-in opens and a second reminder at the booking start time.
This change reduces unnecessary notifications while ensuring users continue to receive timely reminders.
Login List Temporarily Removed
Based on customer feedback, the Login List has been temporarily removed from the Audit Log.
The feature is planned to return in version 2.9 with access restricted to users holding the User Admin role.
External ID Added to the Admin API
To simplify integrations with external systems, an External ID field has been added to the Admin API for Assets, Users, and Bookings.
This enables external identifiers to be stored directly within Flowscape, making it easier to synchronize data and maintain consistent references across systems and integrations.
