Rolling out from October 17, 2026
2026.7 puts your front desk in command with the new Front Desk Board, brings visitor registration into the Workplace app, and shows you where people actually are. It also brings improvements to custom forms, FlowAnalytics, and Workplace Manager, plus a round of fixes to bookings and calendars.
Front Desk Board — command central for your front desk
Front-desk and meeting-services teams juggle a lot: Outlook, room displays, sticky notes, catering spreadsheets. The Front Desk Board gives them one home for it all — right inside Workplace Manager.
- Switch between a Grid view (rooms across, time down), a Schedule view (time across, rooms down), or a clean, filterable List — whichever fits how your team thinks.
- Save your own boards: a reception floor, catered rooms only, whatever your team checks first every morning.
- Drag a booking to a new time or room, lock it to stay in place, or right-click an empty slot to book it on the spot.
- See who's in the room at a glance — organizer, attendees, and a clear signal for recurring meetings, reschedules, and bookings with catering or AV requests attached.
- Every change is staged first and reviewed before it goes live, collisions are caught before you publish, and every publish is logged — so your front desk moves fast without moving carelessly.
- Move a meeting to a room in another tenant of the same calendar provider, and organizers are notified by email once your changes go live. When a room move is published in Microsoft 365, the old room's location is cleared from the meeting too.
- Custom forms attached to a room are validated when a booking is moved, and mandatory forms are enforced.
- Meeting colors are easier to read at a glance, and asset groups are now searchable.
Visitor Registration — a warm welcome, built in
Flowscape now connects to Precise Visit, so welcoming a guest feels as easy as booking a room.
- Register a visitor, see who's coming, and manage upcoming visits — all without leaving the Workplace app, office by office.
- Hosts see their visitors on the Home screen, and invited visitors receive a welcome email.
- Connect each office to its Precise Visit account from Workplace Manager.
- Precise Visit stays the system of record for visitor data, so this slots right into how your reception already works. (Requires a Precise Visit account.)
Workplace App — More Ways to Book and Browse
- Book on behalf of someone else, and pick your booking time and fields right in the booking form — including the start and end times chosen on the map.
- Open bookings straight from an asset's calendar to see who has it and when, and see an asset's whole day as a strip on its details page.
- Favorites now show per day in the calendar, and the date strip pages by week so you can browse ahead.
- New skills filter and an all-filters sheet make it quicker to find exactly the room or desk you need.
- Asset details now say "Someone here" or "No one here," backed by live sensor data — no noisy technical readouts, just a clear answer.
- Filter the map by presence to find a space that's genuinely free.
- Bookings that have no linked user now show the booking's name instead of "Anonymous."
- Furniture no longer clutters your asset search results.
- Sign in with Google is smoother on mobile with the native Google sign-in flow.
- Clearer messages when the app can't reach what it needs, and your session now stays signed in when a token refresh fails because of a network hiccup.
- Open-source licenses are now viewable in the app on desktop.
Custom Forms
- Custom form answers now appear on bookings in the Workplace app, and nested forms save their entries only when you tap Save.
- Workplace Manager's form builder is easier to use: the Label field now comes before the Key, which fills in automatically.
- Service handler emails now show form answers with their proper labels — including sections and nested forms — instead of raw keys, and handlers are notified when a front desk update clears form answers.
- Regex validation rules on form fields are now checked when you save, so an unusable pattern can't slip through.
- Time fields accept more formats, and forms with conflicting settings are caught before they cause confusion.
- Number fields in forms can now be limited to whole numbers or allow decimals, with a simple toggle.
FlowAnalytics
- Custom dashboard widgets get improved controls and office filters.
- Saved filters behave more reliably: shared saved filters are highlighted correctly, and dates carry over properly when you open dashboards and saved filters.
- More accurate analytics: no-show calculations and timezone handling are corrected, busy lights are no longer counted as presence sensors, and room panel timezones are fixed.
- The data mart now refreshes without downtime.
Booking and Calendar Fixes
- Fixed: recurring desk bookings that run beyond the 90-day rolling horizon now show an explanation instead of silently stopping.
- Fixed: updating or deleting a recurring series now carries through correctly, recurrences are placed correctly around local midnight, and past occurrences are no longer created.
- Fixed: the days of a recurring booking are now listed in week order.
- Ending an ongoing meeting in the web app no longer shows "Booking cancelled," and the room's status refreshes straight away.
- Booking a room again from the same booking window in the web app no longer wrongly shows a later, free time as unavailable, so there's no need to refresh the page.
- Booking confirmation emails once again arrive with their calendar (ICS) file attached.
- Meetings synced from your calendar keep their correct organizer, even when the meeting subject differs from the organizer's name.
- The Outlook room finder no longer shows rooms you can't book because of weekly team permissions.
Workplace Manager Improvements
- Finding and removing users from a team is much easier.
- The visibility setting looks and reads the same on the company and office settings pages.
- Fixed a delete confirmation that kept reappearing after you closed a drawer.
- Bookings can be managed with custom forms and clearer draft actions.
- Dropdowns now reach every record, not just the first page, and support searching.
- Floor forms no longer show leftover zone-layer fields, and dark mode looks cleaner.
For Developers & Partners — Athena API
- Bookings now carry a clear check-in status, and new endpoints let your integration check a booking in — or release it — programmatically, on behalf of the organizer. Built for teams automating same-day check-in.
